Generative AI Use Policy

1. Introduction

japan ART EX is a service that provides information and features through its website and app to help people enjoy art fairs, art festivals, exhibitions, and other art events more conveniently.

This Policy explains to users, event organizers, participating venues, artists, galleries, companies, organizations, and other stakeholders why and how we use generative AI, and how we address factual accuracy, rights, privacy, safety, and transparency.

We use generative AI as a technology that supports human planning, research, editing, creative expression, and operations. We do not treat AI output as inherently accurate. Human review, editing, and judgment are applied where appropriate.

2. How We Use Generative AI

We may use generative AI primarily for the following purposes:

(1) Supporting Editorial and Event Content

We may use generative AI to assist with article and news outlines, titles, headings, descriptions, initial drafts, proofreading, summaries, FAQs, tables, search-friendly content structures, and the organization of event information.

(2) Translation and Multilingual Communication

We may use generative AI to translate between Japanese and other languages, refine wording, provide cultural context, and prepare descriptions for international audiences. Where reasonably possible, we review the context, proper nouns, titles of works, artist names, official event names, and other relevant details in translated content.

(3) Supporting Visual, Video, and Graphic Production

(4) Supporting Planning and Operations

We may use generative AI to assist with plans, proposals, draft responses to inquiries, social media posts, press releases, analytics reports, website and app improvement ideas, editorial features, interview preparation, and checklists.

3. Human Review, Editing, and Judgment

We treat generative AI as a technology that supports human editorial, research, organizational, and creative capabilities—not as a system that automatically produces correct answers.

Text, images, video, translations, information, outlines, proposals, and other materials created or assisted by generative AI are reviewed and edited by people according to their intended use and level of risk. Final decisions regarding publication or use are made by people.

For materials published through the Service, the Company or the person responsible will endeavor to review the content and ensure that it is published in accordance with the Service’s policies.

4. Fact-Checking and Accuracy

Generative AI output may contain false information, inaccurate or unnatural wording, outdated information, nonexistent names or terms, or content that does not fit the relevant context.

For information requiring accuracy—including event names, dates and times, venues, admission fees, participation requirements, access details, organizers, exhibitors, artworks, artists, facilities, and coupons—we endeavor to verify the information against official websites, announcements by organizers, information supplied by relevant parties, public authorities, or other reliable primary sources.

Event information may change, be canceled, or be updated after publication. Before visiting, registering, or taking other action, users should also check information issued by the organizer or another official source.

If we become aware of an error in published content, we will review the relevant facts and take appropriate action, which may include correcting, supplementing, removing, or suspending publication of the content.

5. Respect for Art and Its Communities

We do not treat art merely as decoration or an object of consumption. We respect artists’ practices, the background of artworks, their historical and social contexts, curatorial perspectives, and their relationships with venues and local communities.

When using generative AI, we take care not to unduly simplify, exaggerate, or distort information concerning artworks, artists, exhibitions, galleries, museums, organizers, or other stakeholders.

We do not use generative AI to fabricate statements, biographies, awards, provenance, collection information, critical assessments, or stakeholder opinions relating to real artists and present them as fact.

6. Copyright and Other Rights

When using generative AI, we respect copyright, moral rights, trademark rights, design rights, portrait rights, publicity rights, and the other rights and legitimate interests of third parties.

When producing text, images, video, audio, graphics, or other materials, we do not reproduce or republish existing artworks, photographs, writing, footage, designs, trademarks, logos, installation photographs, or other protected materials without authorization. We also endeavor to avoid expressions that are excessively similar to a specific artwork, artist, brand, company, organization, or real person.

When using third-party materials, photographs, footage, music or audio, fonts, logos, images of individuals, or similar assets, we review the applicable terms of use and licenses. Where the rights involved require specialist judgment, we consult relevant parties or professional advisers as appropriate.

7. Transparency and Misrepresentation

We may use generative AI in certain parts of our production processes and the operation of the Service. We do not necessarily disclose, for every piece of content, whether AI was used, which tools were used, the production process, or the extent of AI involvement.

However, if omitting an AI-use disclosure could create a material risk that content will be mistaken for a real artwork, artist, person, exhibition, venue, facility, product, or event, we endeavor to provide an appropriate label or explanation—such as “AI-generated,” “illustrative image,” “reference visual,” or “concept image”—based on the nature and presentation of the content.

We do not intentionally present AI-generated or AI-edited depictions of exhibitions, artwork-like images, people, venues, production scenes, or other visual content as documentary photographs, real artworks, or other authentic records.

8. Personal Data and Confidential Information

When using generative AI tools, we take care not to enter names, addresses, telephone numbers, email addresses, facial images, account information, location data, attendance history, digital stamp history, coupon usage history, inquiry details, or other personal data without first considering the intended purpose, necessity, and the data-handling terms of the tool concerned.

We do not enter or share nonpublic information, contract information, operational materials, internal documents, or other confidential information relating to event organizers, participating venues, artists, galleries, companies, organizations, business partners, or other stakeholders in generative AI tools without appropriate authority or permission.

Where such use is necessary for our operations, we limit the information to what is reasonably required for the stated purpose and, wherever practicable, apply appropriate measures such as anonymization, pseudonymization, summarization, masking, or access restrictions. Our handling of personal data is also governed by our Privacy Policy.

9. Fairness, Safety, and Significant Decisions

We recognize that generative AI output may contain bias, discriminatory language, cultural misunderstandings, stereotypes, or inappropriate or harmful content. We review output in a manner proportionate to its intended use and associated risk.

We do not rely solely on generative AI output when making decisions that may significantly affect a user’s rights or interests. If generative AI is used to assist with decisions concerning admission, account suspension, responses to reports, or other important matters, a person will review the content and circumstances where appropriate.

If the use of generative AI gives rise to concerns regarding safety, reliability, or fairness, we will consider appropriate action, including revising the way the technology is used, suspending its use, or correcting the relevant output.

10. Prohibited and Restricted Uses

We do not use generative AI for any of the following purposes or in any of the following ways:

• To unlawfully reproduce, republish, or imitate third-party works, artworks, writing, photographs, video, audio, designs, or other materials;
• To intentionally create or disseminate false or misleading event information, artwork information, biographies, statements, assessments, or other content;
• To defame, discriminate against, or unjustly harm the reputation of artists, users, organizers, participating venues, companies, organizations, or individuals;
• To create images, video, audio, text, or other content that impersonates a real person without that person’s permission;
• To enter, analyze, generate, or share personal data or confidential information without appropriate authority or any consent required;
• To promote discrimination, prejudice, violence, unlawful conduct, cultural misunderstanding, or harmful stereotypes;
• To intentionally deceive, manipulate, or disadvantage users or other stakeholders; or
• To use AI-generated content improperly in a way that may cause it to be mistaken for a real artwork, exhibition, venue, person, or event.

11. Third-Party Tools and Services

We may use generative AI tools or related services provided by third parties for text generation, translation, image, video, or audio generation, data analysis, proofreading, research assistance, document preparation, and other purposes.

Depending on the purpose and level of risk, we endeavor to review matters such as the applicable terms of use, commercial-use conditions, intellectual property provisions, treatment of input data and output, whether submitted data may be used for model training, retention periods, security, and prohibited uses.

Because generative AI technologies, specifications, service conditions, terms of use, and output quality continue to evolve, we may change the tools we use and our operating practices as appropriate.

12. Disclaimer, Corrections, and Removal Requests

We endeavor to ensure that information published through the Service is accurate and appropriate. However, we do not guarantee that published information is complete, accurate, current, or suitable for any particular purpose.

Generative AI output may contain errors, bias, outdated information, unnatural wording, or material requiring consideration from a rights perspective. Although we review, correct, and edit output as appropriate for its intended use, we do not guarantee that AI output itself will always be accurate, complete, or current.

13. Changes to This Policy
